Meeting Minutes

December 15, 2004

Sue Perouty, President of the Box Hill South Homeowners Association, called the meeting to order at 7:45 PM.

Present: Sue Perouty, Tom Pearson, Rob Furlong, Jennifer Bergquist, Barb Fisher, Frank German, Sally Raphael, and Sallie W. Foster with TPSI.

Absent: No one.

A quorum was present.

Minutes

The minutes of the October 20, 2004 meeting were reviewed and approved with the correction of Sally's last name. It should read: Raphel, not Raphael. Sallie to correct.

Treasurer's Report

Sally reviewed the finances of the community. The income for November was $13,437.43 while the expenses were $26,626.92. Therefore, the was a negative net income of ($13,189.49). The reason for the large negative net income was a result of having two (2) reserve amounts paid to the reserve account. There was not enough money in the checking account in October, so in November, the community paid both months. In addition, a tree at 3110 Laurel Valley Drive that was in the common area and was dead had to be removed. This tree was hanging over a homeowner's home and the removal was a necessity. This cost was $1,680. A check was also written to Smart Street (for the bill paying center and new bank account) to open up the new bank account. All monies will now be paid to this new account and should help with the processing of checks in a timelier manner.

Manager's Report

Action Items

1. Raccoon Drainage - the drainage work was completed 12/2/04. Looks good.

2. Trees - the tree on the corner of HRT by the mailboxes was removed and a large dead tree that fell by Jim Mellarkey's home (it fell between 2 homes) was also removed.

3. Towing Company - Sallie thinks she may have found a towing company. She will follow up with them. Sallie also to have All Signs to do a mock up of a "No Parking" sign for pricing and review of the board.

4. Snow contact people for this year: Jennifer and Rob volunteered.

5. Raccoon - the owner has still not reimbursed the yellow paint invoice. Sallie to send the matter to Richard Drury for action if not paid by 12/31/04.

6. The contract was ready for Sue's approval. Sallie reviewed each and every line item and found a few changes that needed to be done. Sallie to rerun and give to Sue showing changes.

Correspondence

1. The board reviewed the correspondence for the past month. Sallie to have the red/white pick-up truck tagged and towed if he doesn't move it into a regular parking space.

Rules & Regulations

1. The approval letters that went out were to be reviewed by the board at their own convenience.

Legal

1. The board reviewed the reports from both Mannes and Drury. Sallie to call Mannes' office and find out why it is taking so long to get money in on the accounts.

Old Business

Jennifer reviewed the items that would be going into the December/January newsletter. Sallie to supply her with the dates of the Christmas tree pick-up date from Harford Sanitation so it could be printed.

New Business

1. The election of officers for the board of directors took place:

a. President Sue Perouty

b. Vice President Tom Pearson

c. Secretary Jennifer Bergquist/Barb Fisher

d. Newsletter Jennifer Bergquist

2. Rob, Sue, and Barb will judge the Christmas lighting contest in both the single-family homes and town homes. Winners will be announced.

3. Sally asked that Sallie Foster schedule Doug Henken, the insurance agent for BHSHOA, to come to the January meeting. Sallie will do.

4. It was reported that there is a pot hole by the drain on Winter Moss Court. Sallie to check out.

5. Sallie Foster announced that in the New Year, all financial reports will be scanned and sent to the board members along with the Manager's Report. Each board member will have to print out their own reports and bring them to the meetings. No extra copies will be made the night of the meeting.
