March 15, 2000
The meeting was called to order at 7:26 PM without a quorum.
Guests: Susan Perouty, 3200 SOC
Terry Fedder 3317 DWC
Dee Warthen 3319 DWC
Present were: Rob Furlong, Tom Pearson, Al Peisinger, and Sallie Foster. Dave Hastings arrived late. John Munno and Pat Rogers were absent.
Terry Fedder and Dee Warthen came to the meeting to discuss the numerous toys and lawn chairs that appear on the front lawns of many of the homeowner's of Deep Well Court. This was discussed at great length.
Susan Perouty came to the meeting to talk about the water on the common area by her home at 3200 SOC. It was discovered that very little was flowing onto the pavement and that only one (1) homeowner was complaining.
At 8:00 the meeting was called to order with a quorum.
At this time the board requested Sallie write everyone on Deep Well Court, as she has done previously, to keep lawn furniture and children's toys in the rear of the yard. A re-inspection is also to be scheduled 10 days after the inspection.
There was no action required with regard to 3200 Split Oak Court. It was explained to Terry Fedder, Dee Warthen and Susan Perouty that a homeowner, Dave Wooten was supposed to be at the meeting to introduce himself to the board and that he was interested in the one (1) open board position. Mr. Wooten, however, did not attend the meeting. Therefore the board invited all 3 women to think about becoming a candidate for this position. Anyone interested should come to the next board meeting on April 19, 2000 and present some information about themselves and why they think they would be a good board member. After this, the guests left and the board carried on with the meeting.
Sallie did her Manager's Report. The board asked Sallie to have the 'snow account' divided into 12 equal parts on the budget detail for next year. Sallie agreed to do.
The insurance billing came up as a question also under the financials. Sallie is to get a copy of the billings and payments. If payments are made monthly, there is a $5 service fee added. The board wants to take a look at payment alternatives.
Tom Pearson passed out an extensive worksheet showing homeowners with past due amount less than one month, one month behind, 2 months behind, and 3 months behind. Tom was very concerned that there is a lot of money tied up in past due balances that are not being paid within the 1-3 month period. Sallie explained that everyone at the end of one month gets a notice that their account is 30-days late and again at 60 & 90-days. For the homeowners with small balances under the assessment amount, they are sent letters quarterly, along with a copy of their ledger showing their past due amount. Since Box Hill South Homeowner's are on coupons, Tom thought perhaps the homeowner's were not aware that they had these small balances. Sallie reassured the board that letters go out quarterly for these small balances.
The question came up about how an emergency vehicle can turn onto a court that has parked cars on both sides? This is evident on Split Oak Court at the entrance. The board asked Sallie to find out what needs to be done for emergency vehicles to pass through an entrance such as Split Oak Court.
Benhoff scheduled for the drainage and pavement work on Tree Frog Court on March 15th or 16th, weather permitting.
The water was tested at 3200 SOC and there was no chlorine in it.
The CAI application has arrived and Sallie has filled it out. She will send it in to CAI.
The Spring Yard & Craft Sale, along with dumpster cleanup weekend came up for review. The board decided that the yard sale would be April 15th and 16th and the dumpster weekend would be April 22nd and 23rd. There will be a Fall Yard Sale, but NO FALL CLEAN-UP for 2000. Sallie instructed to send out information and also get ad in the Aegis for the Wednesday before the Yard and Craft Sale (April 12, 2000).
