BOX HILL SOUTH HOMEOWNERS ASSOCIATION

Board of Director's Meeting Minutes

January 19, 2000

The meeting was called to order at 7:35 PM

Present: Rob Furlong, John Munno, Tom Pearson, Dave Hastings Al Peisinger and Sallie Foster with TPSI.

Absent: Pat Rogers

Jeff Tolley with Hajek & Associates came to the meeting to explain the increase in taxes for 1998. Jeff reported that the community is taxed on the income from their investments. The income is reported on the 1099's and he takes the information directly from that form. Jeff remarked that due to the increased amounts of investments, that the taxes also increased. He did a recap for the previous years which included the interest reported and the amount of taxes paid.

Year Interest Tax

1996 $ 1,326 0

1997 $ 3,600 $ 450

1998 $10,278 $ 929

Jeff expressed his desires to continue on with the audit and taxes for the year 1999 with Box Hill South. He informed the board that he could have the taxes done before the March 15, 2000 deadline if they wanted that service. Jeff left a letter of engagement for the 1999 audit for $1,045 and $225 for federal and state income tax preparation and $60 for preparation of MD Form 1. Jeff was asked if the price is increased yearly and he stated that Frank Hajek increases his prices 5% each year.

Jeff Tolley left and the meeting continued.

The minutes of the December 22, 1999 meeting were read. Dave Hastings motioned to approve the minutes. It was seconded by John Munno. Approved unanimously.

The snow account was discussed. The amount used for snow removal in 1999 was $ 4,325 which left $ 5,675 remaining from the budgeted amount. At this time, the operating expenses for the year 1999 did not allow the board to transfer any money into the snow reserve account at the end of the year. This will be addressed later in the year.

The water problem at 3200 Split Oak Ct. was discussed. Motion by Dave Hastings to have Sallie get with county and have the water tested to see if it is chlorinated or not. Seconded by John Munno. Approved unanimously.

The $700 bill from Davey Tree Company was discussed. The board requested Sallie to contact them and find out why they put the limbs through the shredder and hauled away the tree pieces. The woods were right there and BHS does not have trees hauled away in situations like this. The board expressed the opinion that if Davey Tree Service wanted to continue doing work with BHS, they would have to do something with the $700 bill.

The water drainage problem on Tree Frog Court was discussed. The board decided that the proposal from Gardner Engineering was too high. The board knows what they need in the area. They don't feel they should have to pay an engineer to tell them what they need when they already know that. Sallie instructed to get 3 bids for this situation from utility companies. Dave Hastings suggested Chuck Pagano with C. W. Overt at 575-7400.

Dave Hastings reported to Sallie that the following lights needed repair in the community.

1) Raccoon Ct/Copper Ridge Rd - light out

2) 3401 Tree Frog Court - top flipped open

3) Stone Trail/Copper Ridge directly across from Woodbrook Court.

New Business

A new board member will need to be added to the board. All members to think about this.

It was reported that 3156 Hidden Ridge Terrace has a white storm door - not almond. In addition the owners have a wire fence in the rear of the yard. The storm door needs to be changed and the fence needs to come down. Loud music was also reported at this address when the owner's son visits. Sallie instructed to write a letter concerning all matters.

The board members are interested in attending the ABC course through CAI. Sallie to find out when the next course if offered. In addition, Sallie is to get new application from CAI for BHS membership.

Al Peisinger mentioned that he thought that 2 meetings a month would be advantageous. He stated that it could be informal and volunteered his home as a meeting place. Al thought it might be good to discuss many of issues and possibly cut some of the time off the regular monthly meeting.

Meeting adjourned at 10 PM.
